TOTS CATERING TERMS & CONDITIONS

At TOTS, we are committed to providing an exceptional catering experience. By booking our services, you agree to the following terms and conditions:

1. SERVICE OFFERINGS

TOTS provides the following catering services:

  • DROP-OFF CATERING: Our team delivers fully prepared meals to your event location, complete with instructions for reheating, if necessary.

  • SELF-SERVICE BUFFETS: We provide a beautifully arranged buffet for your event, allowing guests to serve themselves.

  • PLATED CATERING: Our team serves individually plated meals to guests at the event, with options tailored to your menu selections.

  • COCKTAIL SERVICE: Servers circulate through your event, offering exquisite hors d'oeuvres and small bites for guests to enjoy, enhancing the social atmosphere.

  • BEVERAGE SERVICE: Includes coffee, tea, soft drinks, alcoholic beverages, and custom drink offerings upon request.

2. BOOKING & DEPOSITS

  • non-refundable deposit of 30% of the total estimated cost is required to secure your booking.

  • Final confirmation of the event, including the menu selection and guest count, must be made at least 10 business days prior to the event date.

  • For events scheduled within 10 business days, full payment is due upon booking.

3. FINAL GUEST COUNT

  • A final guest count must be provided 7 days prior to the event. We will cater to a ±5% variance from the confirmed guest count.

  • Any increase in guest count after the final count may incur additional charges, and we will do our best to accommodate such changes.

4. PAYMENT

  • Final payment is due 7 days prior to the event date.

  • Payments can be made via credit card, bank transfer, or other agreed-upon methods.

5. CANCELLATIONS & REFUNDS

  • Cancellations made more than 14 days before the event will receive a full refund minus the non-refundable deposit.

  • Cancellations made 7-14 days prior will result in a 50% refund.

  • Cancellations made less than 7 days prior will not receive a refund.

6. DELIVERY & SET-UP

  • For DROP-OFF CATERING, we will deliver food at the agreed-upon time. It is the client’s responsibility to ensure there is adequate space for delivery and set-up.

  • For SELF-SERVICE BUFFETS, we will provide all necessary serving equipment. Buffet tables, linens, and décor can be arranged for an additional fee.

  • For PLATED CATERING, our staff will set the dining area and serve guests. We require a minimum of 1 server per 20 guests.

  • For COCKTAIL SERVICE, our staff will circulate the event with exquisite hors d'oeuvres, enhancing the ambiance and offering guests a seamless dining experience.

  • For BEVERAGE SERVICE, we will deliver and set up a fully stocked bar, complete with glassware, garnishes, and all necessary equipment. We require a minimum of 1 bartender per 50 guests.

7. STAFFING

  • Staff fees are additional to the cost of food and beverages. We provide a team of trained professionals for service, and the number of staff will be determined based on the guest count and nature of the event.

  • A gratuity of 15-20% is recommended for exceptional service and will be added to your final invoice.

8. SPECIAL REQUESTS

  • Special dietary restrictions and preferences should be communicated at least 7 days in advance. While we strive to accommodate all dietary needs, last-minute requests may be subject to availability or additional costs.

  • Customized menus, décor, and other special requests are available and may incur additional charges.

9. EQUIPMENT & RENTALS

  • We can provide additional rental equipment such as linens, tableware, glassware, and furniture for an additional fee.

  • If any equipment provided by TOTS is damaged, lost, or stolen, the client will be responsible for the full replacement or repair cost.

10. CLIENT RESPONSIBILITIES

  • The client is responsible for ensuring the venue has the proper facilities (e.g., kitchen space for designated catering services, adequate power supply, etc.).

  • If the venue requires permits (e.g., alcohol service, parking, etc.), it is the client’s responsibility to obtain them and notify TOTS.

11. ALCOHOL POLICY

  • TOTS can provide alcohol service, but it is the client's responsibility to ensure compliance with local laws and regulations regarding the service and consumption of alcohol.

  • If you wish to provide your own alcohol, a corkage fee may apply.

12. LIABILITY

  • TOTS is not liable for any accidents, injuries, or damages arising from the client’s use of the catering services or the event venue.

  • Clients are responsible for ensuring that the event is conducted in a safe and lawful manner.

13. EVENT CHANGES

  • Any changes to the menu, event schedule, or service details must be communicated in writing no less than 5 business days before the event. While we will accommodate changes where possible, certain changes may incur additional charges.

14. FORCE MAJEURE

  • TOTS is not responsible for failure to perform its obligations due to circumstances beyond our control, including, but not limited to, natural disasters, strikes, or government-imposed restrictions.

15. CONFIDENTIALITY

  • We respect your privacy and ensure that all event details, including pricing, guest lists, and any proprietary information, remain confidential.
